What is Pictoria One?
Pictoria One is a cataloguing and research system for visual collections and heritage archives. It brings records, digital assets, sources, authorities, rights and institutional decisions into one working environment.
Who is Pictoria One for?
It serves image collections, archives, museums, universities, research projects, galleries and specialist collections that work with complex visual material and documented context.
How is the system organised?
Intake, Catalogue, Explore and Knowledge are four connected working spaces. The catalogue model, Semantic Framework, access policy and managed files provide the shared structure beneath them.
What kinds of collections can it represent?
The domain includes works of art, photographs, negatives, slides, scans, reproductions, documents, buildings, places and related digital material. Each installation uses an application profile suited to its collection.
Cataloguing
What does the catalogue model distinguish?
Pictoria distinguishes the work or object, the visual document that represents it, the managed Digital Asset and the concrete files held in storage. People, places, events and sources remain identifiable records of their own.
How does Pictoria use external authorities?
Getty, Wikidata, Iconclass and other sources retain their canonical identifiers, authorship and scope. The institution defines where and how each authority is used in its catalogue.
What role does the Pictoria Local Thesaurus play?
The Pictoria Local Thesaurus is reserved for demonstrated gaps or divergences that suitable external authorities do not adequately cover.
Can uncertain or conflicting descriptions remain in the catalogue?
Alternative attributions, dates, identifications and classifications retain their own sources and review states. The institution establishes a current catalogue treatment without erasing earlier or competing readings.
Relations and evidence
What is the Pictoria Semantic Framework?
It is the intellectual architecture that defines how records and concepts can be related, what each relation means and how its source, responsible act, catalogue treatment and revision history remain available.
What makes a relation traceable?
The relation type, documentary source, responsible act, date and current catalogue treatment remain distinguishable and available for review.
Is the Framework the same thing as a thesaurus?
They operate at different levels. The Framework covers relations between records, concepts, sources and catalogue treatments. A thesaurus is one terminological component used within that architecture.
How are concepts mapped between authorities?
Mappings express a reviewed relation between concepts while preserving the identity and scope of each authority. A mapping is not treated as identity unless that stronger relation is justified.
How does the Framework support Knowledge?
Knowledge uses governed relations and retrievable sources to investigate connections across the collection without changing the accepted catalogue record.
Files, custody and preservation
How does Pictoria relate works, images and digital files?
The system distinguishes the intellectual work or object, the visual document that depicts it, the managed Digital Asset, its representations and each concrete file and storage location. These resources remain related without being collapsed into one image record.
Where are data and files stored?
Pictoria operates locally or in a privately hosted environment, with infrastructure, geographic location, retention and storage policies defined for each institutional installation.
Who can access records and master files?
Access depends on organisation, role, scope, record status and rights. Editing catalogue data or administering accounts does not automatically grant access to preservation masters.
How are original files and preservation masters protected?
Originals and preservation masters remain separate from access copies and thumbnails. Each file has its own identity, integrity checksum, registered location and access rules. Independent copies, scheduled integrity checks and rehearsed restoration support recovery.
How are sensitive actions recorded?
Pictoria records authentication, privilege and workflow events. Destructive preservation actions require explicit approval, activity records and recovery controls.
Assistance and interoperability
How can automated services support cataloguing?
Approved services support extraction, reconciliation, visual observation and research. Their suggestions retain their origin and review state until an authorised person evaluates them.
Who decides whether a service may process collection material?
Processing policy distinguishes closed institutional processing, private hosting and explicitly approved external use. Collections and records carry additional restrictions where required.
Are preservation masters part of routine external processing?
Preservation masters sit outside routine external processing. An approved external service receives only records or derivatives eligible for the defined purpose and policy.
Can an institution export or migrate its information?
Pictoria uses explicit entities, stable identifiers, linked authorities and portable catalogue data. Export and migration profiles adapt records to each source system, standard and destination.
